Integration · Hotel PMS + GMS

Mobile check-in, beside your PMS. Nothing replaced.

Guests register before arrival, check in on their own phone and receive their door code there, while every reservation keeps coming from the PMS you already run. This is GMS, our guest management system.

How the connection works
  1. Your PMS

    Reservations stay where they are.

  2. GMS

Reads each booking, invites the guest and tracks every stage.

  3. The guest's phone

Registration, check-in and the door code from the lock system.

Staff follow every guest on an iPad or tablet.

01 / What we can show

GMS runs beside a hotel group's existing PMS.

GMS, our guest management system, reads each reservation from the property management system the hotel already runs. MKL Hospitality Group has it live at 9 of its 10 properties and reports 80% shorter front-desk queues.

What this does not show

A connection to every PMS. Each PMS has its own interface and approval process, so we confirm yours before quoting.

02 / Is this the one

Is this the connection you need?

It suits a hotel or group that wants shorter queues without changing its PMS.

The right choice when

  • Arrivals queue at the desk at the same hours every day.
  • You run several properties and want one way of checking guests in.
  • Your PMS works and you do not want to replace it.

Look elsewhere when

  • Your PMS has no interface at all. Then we would talk about the PMS first.
  • You need a new PMS. Ask us about our own instead.
  • Your guests mostly arrive without phones or email, such as some group tours.

03 / What the work covers

What setting it up covers.

One property first, then the rest, as MKL did.

  1. 01

    Your PMS interface

Access through your PMS vendor's interface or partner programme, confirmed before quoting.

  2. 02

    Registration and ID

What guests submit before arrival, in the form your country requires.

  3. 03

    Keys

The door code from your lock system, sent to the guest's phone.

  4. 04

    Staff dashboard and training

Reservations and guest stages on an iPad or tablet, and a session with the front desk.

04 / Limits and risks

Where it can go wrong.

Each PMS is different

Every PMS has its own interface, and some need the vendor's approval or a fee. That decides the timeline, so we confirm it first.

Locks are the lock system's

Mobile keys depend on what your lock system supports. We check it before promising keys on the phone.

Some guests still want the desk

Mobile check-in is offered, not forced. The desk stays for those who prefer it.

05 / What to do next

Work out the time it saves, or talk it through.

The first step is a free scoping call about your properties, your PMS and your lock system. A written estimate follows.

A little clarity

Before adding mobile check-in.

Can we see it working?

Yes. This connection is built and tested by our team, and we can demo it for you on a free call before you decide anything.

Which PMS does GMS work with?

GMS integrates with standard property management systems and is in production beside one at MKL Hospitality Group. Each PMS has its own interface, so we confirm yours before quoting.

What does the guest need?

Their own phone. A link goes out ahead of the stay, and details and ID are submitted from it. The front desk follows each reservation and guest stage on an iPad or tablet.

What does it cost?

GMS is quoted separately, because PMS and lock systems differ. A free call is the first step, and the check-in savings calculator shows what the front-desk time is worth to you.

How long does a first property take?

It depends mostly on your PMS vendor's interface and approval. We give you a timeline once that is confirmed.

Who owns the connection once it is built?

You do. The code, the server it runs on and the accounts with each provider are yours once the final invoice is paid. We can run and maintain it afterwards if you want, but you are never locked in.

Start wherever you are

Bring your busiest arrival hour.

We'll show you how it changes with mobile check-in, beside your PMS.
